Personal/Administrative Assistant

We are seeking a dynamic, practical and organized individual to serve as a full-time Personal/Administrative Assistant.

This position will be responsible for managing a unique blend of personal and administrative assistant responsibilities.

Position Overview

You will be responsible for assisting our Co-Founder, Aisha Marshall, personally and our Agency by “wowing” our customers through email and messenger while providing amazing support, managing our calendars etc. 

You’re willing to learn anything, you’re capable of adjusting on the fly, and you can run through any wall in front of you. 

NO TASK IS “BELOW” YOU AND NO TASK IS TOO BIG FOR YOU!  

Additional tasks include running errands, paying bills, organizing, occasional travel, and attending Creative Label events, content shoots, and speaking engagements.

A bit more about this role:

This role is a mix of work-from-home as well as in-person collaboration. You must have reliable transportation and be able to commute within Phoenix, Arizona. You must also have a reliable laptop computer as we will not provide one.

This is a FULL TIME position, working side-by-side with Creative Label co-founder, Aisha Marshall (while also working closely with other key members of the team).

Duties & Responsibilities:

  • Provide comprehensive administrative and personal support to Co-Founder Aisha Marshall and Creative Label
  • Managing personal and professional calendars 
  • Supports Co-Founder, Aisha Marshall directly as the go-to person for a variety of needs including daily administration, personal and professional calendar management, project coordination (in tandem with the project manager), fielding phone calls, and inquiries, etc.
  • Must be able to anticipate the needs of the Co-Founder and be proactive in providing assistance and resources as needed
  • Plan and coordinate day-to-day business and household maintenance activities
  • Maintain agency calendar while coordinating meeting and conference schedules
  • Answer and screen administrative emails, calls and arrange conference calls
  • Read and route incoming mail appropriately and prepare e-mail correspondence as needed
  • Initiate travel arrangements and create detailed itineraries
  • Perform errands such as shopping, mail pickup, shipping, organization etc.
  • Coordinate a variety of resources; gather and evaluate the information for special projects and reports
  • Create and maintain spreadsheets and databases
  • Organize and maintain Agency drive and files
  • Assist with gift selection, purchasing and wrapping
  • Coordinate with an accountant and project manager to prepare, review and track invoices, purchase orders, work orders, and expense reports
  • Purchase and maintain supplies and materials
  • Creation of agency administrative manuals
  • Perform other tasks as they may arise or be assigned

Requirements:

  • Must have your own car. (Will pay for mileage and gas for work-related tasks) 
  • Must have a laptop 
  • Must have great written and verbal communication skills
  • Must have great customer service skills
  • Must be a team player
  • Proficiency with Google Suite and Google Calendar, and fluency in general project management systems like Slack, ClickUp/Trello/Monday or Asana

Salary, Hours & Perks

  • Full-time: the first 90-days is a trial period. During that time, you will be compensated as a 1099 independent contractor.
